We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

- Behavioral and device data collected on recipients who view a user's public BriefCase, custom BriefCase link, or feedback link without having a BriefCase account

Information users provide about other people
Users may provide personal information about other people when using BriefCase, including professional reference names and contact information, recipient names, recipient job titles, employers, and custom-link labels or context. We use this information to provide the Services, including reference management, custom link creation, personalization, recipient analytics, access verification, and related communications. Users should only provide information about other people when they have permission or another appropriate reason to do so. BriefCase does not buy or pull additional information about recipients or references from public databases or third-party data providers.
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information: student data.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and the security code associated with your payment instrument. All payment data is handled and stored by Stripe. You may find their privacy notice at: https://stripe.com/privacy.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, and location.

- Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect, including your IP address, device information, browser type, activity in the Services, and device event information.
- Device Data. Information about your computer, phone, tablet, or other device, including IP address, device and application identification numbers, location, browser type, hardware model, Internet service provider, operating system, and system configuration information.
- Location Data. Information about your device's location based on IP address. You can opt out by disabling your Location setting on your device.
- Behavioral Engagement Data. When a recipient views a shared BriefCase link, we collect time spent per page section, content engagement, link and button click events, file download events, return visit tracking, and engagement scores based on the recipient's behavior.
- Recipient Data. We collect derivative data on people who never signed up for BriefCase, such as recruiters, hiring managers, interviewers, and others who receive a shared BriefCase or feedback link. This may include device, browser, approximate location, and behavioral engagement data.
Google API
Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
2. HOW DO WE PROCESS YOUR INFORMATION?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.
- To facilitate account creation and authentication and otherwise manage user accounts.
- To deliver and facilitate delivery of services to the user.
- To respond to user inquiries/offer support to users.
- To send administrative information to you — details about our products and services, changes to our terms and policies, and other similar information.
- To request feedback and contact you about your use of our Services.
- To send you marketing and promotional communications, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time.
- To protect our Services, including fraud monitoring and prevention.
- To evaluate and improve our Services, products, marketing, and your experience.
- To comply with our legal obligations.
- Analytics and Insights: To provide first-party analytics and insights to BriefCase users about recipient engagement with their shared BriefCase links and feedback requests.
3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law.
If you are located in Canada, this section applies to you.
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be a victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced

- If the information is publicly available and is specified by the regulations
- We may disclose de-identified information for approved research or statistics projects, subject to ethics oversight and confidentiality commitments
4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: We use cookies, browser storage, and similar technologies to operate BriefCase, remember preferences, support authentication, and provide first-party recipient analytics on shared BriefCase links.
On shared BriefCase and feedback links, BriefCase uses first-party analytics events, browser storage such as localStorage and sessionStorage, device/browser signals, and server-side IP-derived approximate location to help the profile owner understand how their shared materials were engaged with. BriefCase does not use third-party advertising trackers on recipient pages.

6. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?
In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.
We provide AI Products through third-party service providers ("AI Service Providers"), including Anthropic Claude. Your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI Products are designed for:
- AI resume tailoring — keywords and language in your resume are rewritten to match a specific job description
- AI cover letter generation — a role-specific cover letter is generated from your profile and job description
- AI profile summary generation — a structured summary of your career profile is generated for viewers
- AI chatbot / conversational AI — viewers of your BriefCase may ask questions answered by AI using your profile content
- AI Q&A suggestions — AI suggests and drafts answers to common interview questions based on your background
How to Opt Out: You can opt out of AI processing by contacting us, logging in to your account settings and updating your user account, or deleting your account and associated data.
7. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible, then we will securely store your personal information and isolate it from any further processing until deletion is possible.
8. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. You should only access the Services within a secure environment.
9. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. 10. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: Depending on your state of residence in the US or in some regions, such as Canada, you have rights that allow you greater access to and control over your personal information.
In some regions (like Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. You can make such a request by contacting us using the contact details provided in the section "HOW CAN YOU CONTACT US ABOUT THIS NOTICE?" below.
Recipient data requests: Recipients who view a shared BriefCase or feedback link may request access to, correction of, or deletion of recipient analytics data by visiting https://mybriefcase.io/contact and selecting Recipient Data Removal Request, or by emailing privacy@mybriefcase.io.
Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us. You will then be removed from the marketing lists. However, we may still communicate with you for service-related messages necessary for the administration and use of your account.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can:
- Log in to your account settings and update your user account
- Contact us using the contact information provided
- Unsubscribe from emails using the unsubscribe link in any email we send
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies, browser storage, and similar technologies: Most web browsers let you remove or block cookies and site data, including browser storage. Doing so may affect authentication, preferences, analytics continuity, return visit detection, and other functionality. 11. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
Global Privacy Control: We recognize and honor Global Privacy Control (GPC) signals. If you use a browser or extension that supports GPC, we automatically suppress behavioral recipient analytics on shared BriefCase and feedback links, do not enrich those events with fingerprint, IP address, or approximate location, and do not require you to take additional action. 12. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have specific privacy rights.

Appeals
Under certain US state data protection laws, if we decline to take action regarding your request, you may appeal our decision by emailing us at privacy@mybriefcase.io. If your appeal is denied, you may submit a complaint to your state attorney general.
13. RECIPIENT ANALYTICS ON SHARED BRIEFCASE LINKS
When a registered user shares a public BriefCase link, custom BriefCase link, group link, forwarded link, or feedback link with a recipient, BriefCase collects first-party recipient analytics about how that shared link is engaged with. This may include opens, time spent, sections viewed, summary interactions, Ask AI usage, links clicked, files previewed or downloaded, feedback activity, device and browser information, return visits, forwarding behavior, engagement scores, and approximate location derived from IP address.
This data is collected as part of the BriefCase service and is made available to the registered BriefCase user who created or shared the link. BriefCase does not sell this recipient analytics data or use third-party advertising trackers on recipient pages. GPC-protected recipients are treated as privacy protected, and behavioral analytics, fingerprint, IP address, and location enrichment are suppressed.
Recipients may request access to, correction of, or deletion of recipient analytics data by visiting https://mybriefcase.io/contact and selecting Recipient Data Removal Request, or by emailing privacy@mybriefcase.io.
14. DO WE MAKE UPDATES TO THIS NOTICE?
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Revised" date at the top of this Privacy Notice.
